How to insert a radio button or option button in Excel?

Sometimes you may see a group of predefined options with circle holes allowing you to choose one of them, and the choice is exclusive. They are radio buttons or option buttons. It is quite useful with them to select one of a series of size as Small, Medium, and Large, or a series of color as Red, Orange, Yellow, Green, Blue, …etc.

Normally we can only insert one checkbox or option button in a cell at a time with tedious steps in Excel. 1. Go to the Controls group under Developer tab.

Note: If you can't view the Developer tab in ribbon, please do as follows:

  1. In Excel 2010 or higher versions, please click the File > Options > Customize Ribbon, and then check the Developer option in the right side.
  2. In Excel 2007, please click the Office button > Excel Options > Popular, and then check the Show Developer tab in the Ribbon option in the Top options for working with Excel section.

2. Click the Insert button, and select the Option Button, see the following screen shot:

3. Move mouse on working area, and draw a radio button. Repeat the Step 2 and Step 3, and insert as many radio buttons as you need.

4. Right click one of Option Buttons, and click the Edit Text item from context menu.

5. Then the text above selected option button is editable, type a new name for the selected radio button. And rename other radio buttons based on your needs.

6. After renaming the option buttons, you can also format them as you want. Right click one of radio buttons, and click the Format Control item from the context menu, see screenshot below:

7. In the Format Control dialog box, change the formatting styles of each radio button. See screenshot above:

In Design mode, select the radio button so that the handles show and click Properties to display the properties list. To make it easier to find GroupName, click on the column heading Alphabetic. In the box to the right of GroupName, change the name from the default (I think it defaults to the name of the tab). For each radio that you want to group together, give them the same GroupName. All of the radio buttons with the same group name will be linked together. Radio buttons in other group names will not be affected.

Like all the others I am trying to create a list of questions with the buttons providing a answer for each. I am using Word. I cannot make the individual answers work for each question.

I found this site with the same question as the other posters: how do I create radio buttons in a way that more than one can be checked at a time? I worked it out! Under DEVELOPER - Controls - Insert - Form Controls, Select "Group Box (form control). Lay it out on your sheet. Now create your radio buttons within this group box. Only one radio button can be selected in this box (as per usual). Now though, create a second group box. Any radio buttons in this new box will be independant of those in the first.

Great info above - Thank You! additional question - I followed your steps for the radio button and applied to the 'insert button' - is there a way to change the button color? I can change the button font color - but the actual background/button color... thank you,

Hello Sir, I followed the instruction written above, but the problem is that my sheet having 10 number of question and each question having 5 option. When I select/click radio button at a time I can select only one in entire sheet. I need your help to generate radio button for each question and for each option, so when a candidate try to click one option from each quection then he can do that easily. My sheet is objective type question. Kindly guide me regarding my queries. I want to make my question sheet more user friendly. Thank you Regards Atul Guhe

in two c0lmn 2 check boxes in both, if i select one check box another one must unchecked automatically, the same thing i want to do it for 10 rows is it possible
