Bookmarks offer a practical way to locate important sections of long or information-rich email messages. While drafting or reviewing content in Microsoft Outlook, bookmarks can help you easily reference, revisit, or guide others to critical information without having to scroll manually. In this tutorial, you’ll explore detailed methods for inserting and managing bookmarks in Outlook—whether using the built-in features or advanced options like Kutools for Outlook—along with practical tips for linking to those bookmarks within your message. These skills are especially useful for those who work with lengthy project updates, technical documentation, or any emails that require easy navigation or quick referencing.

Insert a bookmark in an Email Message
Outlook’s bookmark tool operates much like the bookmarking feature in Microsoft Word, allowing you to mark and quickly access specific sections of an email message. This is particularly useful for referencing legal language, steps in a procedure, or important sections in newsletters. The process is straightforward:
1. Start by opening a new email message or replying/forwarding an existing one to enter the Message editing window. Make sure you are in the editing mode where bookmarks can be inserted.
2. Place your cursor exactly at the position in the email where you want to create a bookmark. Choosing a strategic location—such as before a heading or paragraph—can make organization easier later.
3. On the ribbon, go to the "Insert" tab. In the "Links" group, click the "Bookmark" button. If you don’t see the Bookmark option, ensure the message format is set to HTML or Rich Text, as bookmarks are not supported in plain text emails.

4. The "Bookmark" dialog will appear. Enter a descriptive bookmark name in the "Bookmark name:" field. Bookmark names must begin with a letter and cannot contain spaces—use underscores or capitalize words to make names readable.

5. Click "Add" to insert the bookmark at the cursor’s position.
Congratulations! The bookmark is now embedded in your email at the chosen location. You can repeat these steps to add more bookmarks throughout your message as needed.
When naming bookmarks, use meaningful titles related to their location or purpose, such as “SummarySection” or “ContactInfo” to enhance clarity when navigating later.
Go to a specific bookmark in an Email Message
If you need to revisit a previously created bookmark within your message—for instance, while editing or checking references—follow these steps:
1. Again, click the "Bookmark" button in the "Links" group under the "Insert" tab to open the Bookmark dialog.
2. In the dialog, a list of all the bookmarks in your message will be shown. Select the desired bookmark you want to jump to in the list.
3. Click the "Go to" button.

The cursor will instantly move to the exact location you marked with the bookmark. This feature saves time compared to scrolling through lengthy emails manually, and is especially helpful if you collaborate with others on the same email draft or need to ensure critical details are not overlooked.
It’s important to note that bookmarks are visible only within the Outlook email editing window—they are not visible to recipients unless linked or otherwise referenced. If you encounter an error or the bookmark does not appear, verify the email format and ensure you haven’t accidentally used unsupported characters or spaces in the bookmark name.

Link to a bookmark in an Email Message
Beyond simply marking or locating bookmarks, Outlook allows you to insert hyperlinks that point directly to a specific bookmark in the email message. This is highly practical for lengthy emails that serve as reports, newsletters, or step-by-step instructions, enabling readers to jump straight to the relevant section with a single click. This method also helps guide your recipients, improving clarity and reducing the chance of missed information.
1. First, highlight the text or select the object (such as an image or icon) within your email that you want to convert into a clickable link pointing to a bookmark. Typical choices include section headings, terms, or “Read More” links near summaries.
2. Go to the "Insert" tab and find the "Links" group. Click the "Hyperlink" button. If inserting a hyperlink is unavailable, check that you are drafting in HTML or Rich Text mode, as hyperlinks and bookmarks are not supported in plain text.

3. When the "Insert Hyperlink" dialog opens, click "Place in This Document" in the left navigation panel. This will display a list of available bookmarks you have created in the current email draft.

4. Under "Select a place in this document:", expand the Bookmarks category if needed, and select the bookmark you want the link to point to. If your bookmark does not appear, check that you’ve created it correctly and the name meets Outlook’s naming requirements.
5. Click "OK" to finalize the hyperlink.
Now, the text or object you selected contains an internal hyperlink pointing directly to the specified bookmark. To use it, simply hold down the Ctrl key and click the link—your cursor will jump to the target bookmark position. This makes content navigation effortless for both you and message recipients, particularly in action item lists or reference-heavy communications.
If the bookmark hyperlink doesn't work as expected, verify that the bookmark still exists, that the message hasn’t been converted to plain text format, and that the provided link refers to a valid bookmark name.
