How to count number of contacts in Outlook?
Let’s say you have added a number of contacts into a contact folder or contact group in Outlook, how do you count the contact number in a short time? Counting one by one manually seems tedious and not a smart way. In this article, I will introduce several tricks to count the number of contacts in contact folders/groups in Outlook easily.
Office Tab: Enable Tabbed Editing and Browsing in Office, Just Like Chrome, Firefox, IE 8/9/10.
Classic Menu: Bring Old Menus and Toolbars Back to Office 2007, 2010, 2013, 2016 and 2019.
In this article, I will show you two ways to count the total number of contacts in a certain Contact folder in Outlook. And the first way is to change the folder properties.
Step 1: Shift to the Contacts view, right click the contact folder in the Navigation Pane which you will count the total number of contacts in, and select the Properties from the right-clicking menu.
Step 2: In the Contacts Properties dialog box, check the option of Show total number of items, and then click the OK button.
Now you will see the total number of contacts showing besides the contact folder name on the Navigation Pane.
The other method about counting the total number of contacts in a Contact folder is to enable the Items in View in the Status bar.
Firstly, you need to show the Items in View in the Status bar with right-clicking at any blank place at the Status bar, and then checking the Items in View.
Note: In Outlook 2007, the Items in View is enabled in the Status bar by default. See screen shot below:
Secondly, click to select the contact folder in which you will count the total number of contacts, and you will see the total number of contacts showing in the Status bar.
Some Outlook users may want to count the total number of contacts in a specified contact group. And the following steps will walk you through it.
Step 1: Shift to the Contact view, and double click the contact group to open it.
Step 2: In the Contact Group window, click the Forward Group > In Internet Format (vCard) on the Contact Group tab.
Note: In Outlook 2007, you need to click the Send > In Internet Format (vCard) on the Distribution List tab.
Step 3: In the new opening Forward Message window, double click the attachment of contact group to open it.
Step 4: In the popping up Opening Mail Attachment dialog box, click the Open button.
Step 5: Now the attached text file of contact group are opening in Notepad. Enable the Status Bar with clicking the View > Status Bar.
Note: The Status Bar won’t be enabled until you disable wrapping words with clicking the Forward > Word Wrap.
Step 6: Put the cursor at the last line of the content in the Notepad, and then you can get the total number of contacts with the total number of lines minus 4.
For example, you put the cursor at the last line of the content, it shows Ln 17 at the status bar, and you can calculate the total contact number is 17- 4=13.
Step 7: Close all windows without saving.
Besides this method of counting contacts group in Notepad, you can count distribution list members with VBA code in Outlook.
