How to copy and reuse draft email in Outlook?

Let’s say you have to send meeting minutes every Monday via email in Outlook, and the meeting minutes should be created in a unified form. This method will introduce a solution to copy a draft email with opening the draft email and then copying with keywords in Outlook.

1. In the Mail view, open the Drafts folder, and then double click to open the specified draft email you will copy.

2. In the opening message window, place the cursor at anywhere of To/Cc/Bcc/Subject filed, and then press the Ctrl + F keys simultaneously. See screenshot:

3. And now it copies the opening draft email. Please close the original draft email without saving, and then compose the copied email and send it.

If you need to copy and reuse a draft email without opening it in Outlook, please do as follows:

Note: If you are working with Outlook 2013/2016, please start with below Step 1; if you are working with Outlook 2010 or earlier versions, please start with below Step 3.

1. Click File > Options.

2. In the opening Outlook Options dialog box, click Mail in the left bar, check the Open replies and forwards in a new window option in the Replies and forwards section, and click the OK button. See screenshot:

3. In the Mail view, open the Drafts folder, select the draft email you will copy, and then click Home > Forward (or press the Ctrl + F keys simultaneously).

4. Now the draft email is copied and opened in a message window. Please compose this copied email and send it.

Sometimes, you may need to copy draft emails not only to new emails, but also forwarding/replying emails. In this condition, you can save the draft email’ message body as an AutoText entry, and then reuse it with double-clicking only.

1. In the Mail view, open the Drafts folder, and then double click to open the specified draft email you will copy.

2. In the opening message window, put cursor in the message body and press Ctrl + A keys to select all contents in the message body, and then click the Add button  in the Auto Text pane. See screenshot:

3. In the Auto Text dialog box, please type a name for the new AutoText entry into the Name box, select a category from the Category drop down list, and click the OK button. See screenshot above:

Up to now, the message body of the specified draft email has been copied as an AutoText entry, and you can reuse it in any composing email with double-clicking only. See screenshot:
