How to change meeting time in Outlook?

Once you created a meeting and set date/time for it, Outlook calendar saves the meeting on that specific day at that specific time. However, when something comes up, you may need to reschedule the meeting time and update that information to the attendees. To do so, here we listed two methods.


Change meeting time with drag-and-drop method

1. Navigate to the Calendar view by clicking the calendar icon on the bottom left corner of your Outlook screen.

2. Click and hold on the meeting in your calendar, and drag it to the destinate time slot. See the screenshot below.

Tip: If the calendar is in other view, such as List, please click View > Change View > Calendar to change the calendar view to Calendar.

3. Release the button, Outlook will then ask if you want to save changes and send update in a pop-up dialog box. Click OK. Now you have completed the rescheduling of the date of the meeting. If you need to change the specific time of the meeting, please go ahead and follow the next step. Otherwise, skip it.

4. If you need to change the time as well (or only change the time), under the Home tab, in the Arrange group, you should shift the calendar view to any mode other than Month according to your needs.

Here I selected Day to show the calendar in daily view. As the picture shown below, you can view time slots showing in rows. To reschedule the time of the meeting, you can drag the meeting and drop it to the time slots as you want.

Tip: After you select the meeting, you can change the length of it by dragging the top or bottom of the meeting box up or down.

5. Release the button, a pop-up dialog box asks if you want to save changes and send update. Click OK.

If you also need to let attendees know why you are rescheduling the meeting and want to add a note; Or if you just don’t enjoy the drag-and-drop method and want to see all the details of your meeting. Please do as follows:

1. Navigate to the Calendar view by clicking the calendar icon on the bottom left corner of your Outlook screen.

2. Double-click on the meeting. A window showing detail information of the meeting will pop up. Now you can change the time, length, and add a note in the description.

3. Click Send Update. All your attendees will then receive a notification alerting them to the adjustment and asking them for their responses if they accept or decline the updated meeting.
