Automatically cc or bcc when sending emails in Outlook

If you always need to cc or bcc a copy of email when sending emails in Outlook, you need to manually bcc (Blind Carbon Copy) or cc (Carbon Copy) each time. There is no easy way for you to automatically cc or bcc email when sending an email in Outlook, but with Kutools for Outlook’s Auto CC / BCC utility, you can easily auto cc or bcc for all outgoing emails or customize rules to handle the cc or bcc emails in Outlook.

Automatically cc or bcc for all outgoing emails

You can easily cc or bcc yourself or specific people a copy of email for all outgoing emails as follows:

1. Please apply the utility by clicking Kutools > CC / BCC > Rule Manager.

2. In the Auto CC / BCC Manager dialog box, click the New button to create a new cc / bcc rule.

3. In the first Rules Wizard, click the Next button directly without selecting any conditions. Then a Kutools for Outlook dialog box pops up to remind you the rule will be applied to all sending emails, click the Yes button.

4. In the second Rules Wizard, click the Next button without selecting any exceptions.

5. In the last Rules Wizard dialog box, you need to configure as follows.

5.1) In the Rule name box, type a name for the rule;
5.2) In the Rule remark box, enter a brief remark to the rule;
5.3) Click the Recipient button to specify the CC or BCC recipients;
5.4) Click the OK button.

Note: In the Set rule options section, if you check the Run this rule now for messages that are already in “Inbox” option, the created rule will be executed in the Inbox folder at once; By default, the Enable this rule option is checked, if you don't want to enable this rule right now, please uncheck it.

Note: After clicking the Recipients button, a Select Names dialog will pop up, please click to select one or multiple contacts, click CC or BCC button to add the selected contacts to the CC or BCC fields, and then click the OK button.

6. When it returns to the Auto CC / BCC Manager, you can see the rule you created just now is listed inside, click OK to save the rule.
Tip: you can create multiple rules, and if you uncheck the rules, these unchecked rules will not take effect.

7. Now you need to enable the feature by clicking Kutools > CC / BCC > Enable Auto CC / BCC to make this rule effective.

Notes: You can easily enable or disable the Auto CC / BCC feature as follows:

Easily customize rules for controlling cc or bcc when sending emails

You can easily customize rules for controlling cc / bcc when sending emails in Auto CC / BCC Manager as you want.
You can:
Create a cc / bcc rule to auto cc / bcc when sending an email from specific account;
Create a cc / bcc rule to auto cc / bcc when the sending email's subject contains specific keywords;
Create a cc / bcc rule to auto cc / bcc when the sending email's attachment name contains specific keywords;
Create a cc / bcc rule to auto cc / bcc when sending an email to specific persons and so on.

No matter the cc / bcc rules are simple or complicated, you can easily create them in Auto CC / BCC Manager.

1. Please apply the utility by clicking Kutools > CC / BCC > Rule Manager.

2. In the Auto CC / BCC Manager dialog box, click the New button to create a new cc / bcc rule.

3. In the first Rules Wizard, select and specify the conditions as you need, and then click the Next button.

4. In the second Rules Wizard, select the exceptions as you need, and then click the Next button.
Note: The exception conditions take precedence over conditions when conflicts between items in the rule.

5. In the last Rules Wizard dialog box, please configure as follows.

5.1) In the Rule name box, type a name for the rule;
5.2) In the Rule remark box, enter a brief remark to the rule;
5.3) Click the Recipient button to specify the CC or BCC recipients;
5.4) Click the OK button.

Notes:

1) In the Set rule options section, if you check the Run this rule now for messages that are already in “Inbox” option, the created rule will be executed in the Inbox folder at once; By default, the Enable this rule option is checked, if you don't want to enable this rule right now, please uncheck it.
2) In the Step 2 box, you can directly click the underlined text to modify the rule condition as you need.

6. When it returns to the Auto CC / BCC Manager, click the OK button to save the rule.

7. Click Kutools > CC / BCC > Enable Auto CC / BCC to enable this feature.

Notes:

1. Specify email accounts for auto CC / BCC rules

Here demonstrate how to specify email accounts for auto CC / BCC rules.

(1) In the first Rules Wizard (for specifying never block email account, please go to the second Rules Wizard), tick the through the specified account condition andclick the underlined value;
(3) In the opening Text Contains dialog box, check the email account you need and then click the OK button. See screenshot:

2. Add multiple keywords when creating or editing custom auto cc/bcc rule

When creating or editing a custom auto cc/bcc rule, you can add multiple keywords to filter subject, attachment name, “To:” address, or body. Here I will take the subject keywords for example.

(1) In the Rules Wizard, tick the the subject contains specific word box and then click the underlined text;
(2) In the Text Contains dialog, click the New button;
(3) In the Search Text dialog, type in a keyword, and click the Add button. If necessary, you can repeat this operation to add multiple keywords, and the relationship among these keywords is “AND. Then cick the OK button in to save the new added keywords.

(6) Now you get back to the Text Contains dialog. If some keyword items already exist, you can see the relationship among the keyword items is “OR. Click the OK button to save the settings.

3. In a custom auto cc/bcc rule, it will carry out the never block criteria firstly when the block criteria conflicts with the never block criteria.
4. In the Auto CC / BCC Manager, there are buttons in the toolbar.
  • : Click this button to create a new auto cc/bcc rule.
  • : Select an auto cc/bcc rule, and then click this button to edit it.
  • : Select an auto cc/bcc rule, and then click this button to copy it.
  • : Select an auto cc/bcc rule, and then click this button to remove it.
  • : Select an auto cc/bcc rule, and click this button to move it up.
  • : Select an auto cc/bcc rule, and click this button to move it down.
  • : Click this button to export all auto cc/bcc rules.
  • : Click this button to import auto cc/bcc rules into the manager.

  • : If you tick this option, the rule description in above Rule description box will be automatically wrapped based on the manager width.

5. Check the checkbox beside Enable to enable all rules.

6. It supports Ctrl or Shift keys to select multiple rules, and use right-click menu to batch copy or delete the selected rules.

7. If you do not edit the remark in the last step of the wizard, it will show parts of rules in the rule list, but the remark keeps empty in fact.

- When window pop-ups... there is no filter field and the "Recipients" button is not completely visible, what kind of 4.5px WTF? ʅ_(ツ)_ʃ

Is there any way you can turn off the notification that an email has been auto BCC'd? Very annoying! Thanks.

I've tried using Auto BCC but it is not working. I've followed the instruction as detailed above. What am I missing?
