Automatically forward all or certain emails when receiving in Outlook

When you are going away on vacation, there may be some receiving emails needed to be answered punctually during your vacation time. The efficient way is to automatically forward these emails to others and let them answer for you if you don’t like your vacation being interrupted by these annoying emails. With Outlook build-in function, you need to set a time-consuming rule for auto forwarding the emails when receiving. But now, with the Automatic Forward utility of Kutools for Outlook, auto forwarding is no longer a matter. You can not only automatically forward all emails when receiving, but also automatically forward certain emails by special criteria easily in Outlook.

With Kutools for Outlook’s Automatic Forward utility, you can automatically forward all emails when receiving in Outlook as follows.

1. Please enable the Auto Forward utility by clicking Kutools > Forward > Enable Auto Forward. See screenshot:

Note: If there have been auto forward rules already, firstly activate the Auto Forward utility by clicking Kutools > Forward > Enable Auto Forward, and then open the Auto Forward Setting dialog by clicking the Kutools > Forward > Auto Forward Manager.

2. Then an Auto Forward Settings dialog pops up. Please click New button.

3. In the Auto Forward dialog, you need to (1) change your rule name by removing the default text and typing a new one in the Rule Name textbox; (2) make sure that the All received email option is checked; (3) click the Recipients button. See screenshot:

4. In the Select Members: Contacts dialog, please select the recipients that you want to auto forward to, and then click To -> button. Finally click OK button to close the dialog. See screenshot:

5. Now it will returns to the Auto Forward dialog, please click OK button.

6. After clicking OK in the Auto Forward dialog, you will see the rule you have created is listed in the Auto Forward Settings dialog. Please click OK button to finish the whole settings.

Besides auto forwarding all emails when receiving, you can also auto forward certain emails by received account in Outlook.

For example there are two or more email accounts existing in your Outlook, and you don’t want the auto forward function to be applied for all email accounts, you can configure to just auto forward emails by a certain received account in Outlook.

1. Please enable the Auto Forward utility by clicking Kutools > Forward > Enable Auto Forward. See screenshot:

Note: If there have been auto forward rules already, firstly activate the Auto Forward utility by clicking Kutools > Forward > Enable Auto Forward, and then open the Auto Forward Setting dialog by clicking the Kutools > Forward > Auto Forward Manager.

2. In the Auto Forward Settings dialog, please click New button.

3. In the Auto Forward dialog, you need to (1) change the rule name by removing the default text and typing your rule name in the Rule Name textbox; (2) click the Custom option to expand the whole custom conditions section.

4. Now, check the Account is box and then click button to continue the settings.

Note: There are two criteria “Inclusion” and “Exclusion” you can use, check any one of them or both of them for your own needs.

5. Click New button in the Text Contains dialog.

6. In the Account dialog, please click to select an email account, and the click OK button.

7. When it returns to the Text Contains dialog, please click OK button to close it.

Note: If you want to select multiple accounts, please repeat the above step 5 and step 6, and then click OK in the Text Contains dialog.

8. In the Auto Forward dialog, please click Recipients button. See screenshot:

9. In the Select Members: Contacts dialog, please select the recipients that you want to auto forward to, and then click To -> button. Finally click OK button to close the dialog. See screenshot:

10. After selecting the recipients, it will returns to the Auto Forward dialog, then you can see the recipient’s email address is listed in the Forward Recipients Name textbox. Please click OK button to close this dialog.

11. Then the rule which you have just created is listed in the Auto Forward Settings dialog. Click on the rule, you can see the rule details in the Rule Description textbox. Please click OK button to finish the whole settings. See screenshot:

With this utility, you can also auto forward certain emails by customized rules in Outlook. For example, you can auto forward emails by its subjects, attachment names and so on.

To auto forward emails by its subject, please do as follows.

1. Please enable the Auto Forward utility by clicking Kutools > Forward > Enable Auto Forward. See screenshot:

Note: If there have been auto forward rules already, firstly activate the Auto Forward utility by clicking Kutools > Forward > Enable Auto Forward, and then open the Auto Forward Setting dialog by clicking the Kutools > Forward > Auto Forward Manager.

2. In the Auto Forward Settings dialog, please click New button.

3. In the Auto Forward dialog, you need to (1) change the rule name by removing the default text and typing your rule name in the Rule Name textbox; (2) click the Custom option to expand the whole custom conditions section.

4. Now, please check the Subject contains box from the Inclusion or Exclusion criteria, and then click button. See screenshot above:

5. Click New button in the Text Contains dialog.

6. Then a Search Text dialog pops up. Please type the text you need in the New Search Text textbox and then click Add button. And finally click OK button to close the dialog after finish adding texts.

Note: If you repeat typing and adding text into the Search List, the relationship among these texts are “and”.

7. Besides the “and” relationship, an “or” relationship can also be used among the texts. When it returns to the Text Contains dialog, please repeat the above step 5 and step 6. And then you will see the “or” relationship was created. See screenshot:

8. The Text Contains dialog provides you with the function of editing, deleting, checking all, and reversing the texts if you do not satisfy with the texts you created. When you finish, click OK button to close the dialog.

9. When it returns to the Auto Forward dialog, click on the Recipients button to select the recipients you want to auto forward to, and then click OK button to close it. See screenshot:

10. Click OK button in the Auto Forward Settings dialog to finish the whole settings.

From now on, if the arriving emails’ subjects meet the condition you have created, the auto forward will work.

Notes:

1. For the Attachment name contains, “From:” address contains and the Body contains conditions, the operation of them are the same as the operation of “Subject contains” condition. You can easily create rules for them as individual rules or mix them together as one rule.

2. You can turn off the auto forward utility if you don’t need it. You can see the turn on and the turn off status as below screenshots show.

3. You can easily manage your created rules by clicking Kutools > Forward > Auto Forward Manager to enter the Auto Forward Manager dialog.
