Quickly statistic and count emails/items in Outlook

For counting the total number of received emails on a specific date in Outlook, normally you can search by the date and get the total number at the Status bar. However, it seems hard to count received emails per day in bulk. Here, Kutools for Outlook releases the Statistics feature, which can help you not only count received emails per day/week/month, count selected emails, count items in all folders, but also report all counting results in charts.

Count total number of received emails per day/week/month

For counting the total number of received emails per day/week/month, please apply the Statistics feature as follows:

1. Click Kutools Plus > Statistics to open the Statistic dialog box. See screenshot:

2. In the Statistic dialog box, please do as follows:

  1. 2.1 Specify the folder to count. In this case, select the Inbox option from the Outlook Folders drop-down list, or just manually check the Inbox checkboxes from the accounts.
  2. 2.2 Go to the right section to set the Statistic Period. Specify the date range accordingly. If you also want to set the time range, check the Emails sent or received during this time box. And you can also check the specific week days you want.
  3. 2.3 Click the OK button

3. The Kutools for Outlook dialog pops up. Click Yes to count both the received emails and sent emails. Click No to only count the received emails. In this case, click No.

4. Now in the Statistics dialog box, the summery report is displayed at default in Summary tab in Statistic window. See screenshots:

Navigate to other tabs at the bottom to view other information. For example, click Days of Month at the tab bar, the chart will display the total numbers of emails received per day in recent two months.


Count total number of selected emails/items

For counting the total number of selected emails or items, please apply the Statistics feature as follows:

1. Select multiple items you will count.

Note: You can select multiple inconsecutive items by holding the Ctrl key and selecting them one by one. Or select multiple consecutive items at the same time by holding the Shift key and clicking the first item and the last one.

2. Click Kutools Plus > Statistics to open the Statistic dialog box.

3. Please click the OK button directly in the opening Statistic dialog box.

And now you will get the total number of selected items at the top of the second Statistic dialog box. See screenshot:


Count total number of items in all folders

For counting the total number of items in all folders, please apply the Statistics feature as follows:

1. Click Kutools Plus > Statistics to open the Statistic dialog box. See screenshot:

2. Now the first Statistic dialog box pops out, choose All Folders from the drop down list of Outlook Folders, then click the OK button.

Or you can right-click any folder, then click Select All to select all folders.

Note: If you need to count the total number of items in all folders of one email account, you need to right-click any folder and click Deselect All first. Then right-click the specific email account and click Select all subfolders of the current folder to only select the folders of this email account .

Then the second Statistic dialog box comes out, and you will get the total number of items in all folders of all email accounts (or the specified email account) at the top. See screenshot:


Tip: You can export the count results to an Excel file or HTML file as you need, please do as this:

1. In the Statistics dialog box, click Export Report, see screenshot:

2. In the popped out Save Report dialog box, type a name for this report into the File name text box, and then choose file format you want to save from the Save as type drop down list, see screenshot:

3. Then click Save button, all the data will be save as the file format as you need, see screenshot:

Notes:

1. When choosing folders to count, the right-click menu provides more operations.

  • Select All
  • Deselect All
  • Select all subfolders of the current folder
  • Deselect all subfolders of the current folder
  • Expand All
  • Collapse All

2. You also can count items by one category or multiple categories. In the Statistics Category section of the Statistic window, check the Emails only with specific category box, then choose the categories from the drop-down list.

Please go to File > Account Settings > Account Settings. Double click on your email account, and see if you have checked the box shown below.

Doesn't load anything for me when use Statistics, just is blank and can't close window

It crashes on me, downloaded a free trial to see how it works and it just crashes. the plugin requires to scan over 10 mailboxes

This tool crashes on outlook, hasn't helped me at all yet :((
