Split a Word document into multiple files

While Microsoft Word allows you to manually copy content into separate documents, it does not provide a built-in feature for automatically splitting a document. Kutools for Word adds this capability, allowing you to split documents by headings, section breaks, page breaks, page count, custom page ranges, or word count.

All generated documents retain the original formatting, including fonts, headings, pictures, tables, headers, and footers.

Where to find the Split Document feature

After installing Kutools for Word, you can find the Split Document feature by clicking Kutools Plus > Split.

The Split by drop-down list provides six ways to split a Word document. Choose the method that best fits your document structure, page layout, or content length. Click any option below to jump to the detailed instructions.


Split a Word document by Heading

Use Split by Heading when your document is organized with Word heading styles. Unlike many document splitting tools that support only top-level headings, Kutools for Word supports splitting documents by Heading 1 through Heading 5.

  1. In the Split Document dialog box, select By Heading from the Split by drop-down list.
  2. Choose the heading level you want to split by, such as Heading 3.
  3. Select a content processing strategy:
    • Strict Split (Precision Mode) – Keeps only content under the selected heading level and discards introductory or parent-level content outside the split scope.
    • Merge Down (Continuous Mode) – Merges introductory content and parent headings into the first following split document to ensure no content is lost.
    • Rebuild Context (Structure Mode) – Automatically rebuilds parent heading context in each split document, making individual files easier to read independently.
  4. Enter a file name prefix if needed.
  5. Choose a save path.
  6. Click Split.

Result: Each heading section is saved as a separate Word document. The generated file name uses the heading text as the document name, and any specified file name prefix is automatically added to the beginning of the file name.


Split a Word document by Section Break or Page Break

Kutools for Word can split a document using existing section breaks or manual page breaks.

  1. In the Split Document dialog box, select one of the following options from the Split by drop-down list:
    • By Section Break – Creates a new document for each section.
    • By Page Break – Creates a new document at every manual page break.
  2. Enter a file name prefix if needed.
  3. Choose a save path.
  4. Click Split.

Result: Each section-break or page-break segment is saved as a separate Word document. The generated files are named sequentially, such as 1.docx, 2.docx, 3.docx, and so on. If a file name prefix is specified, the sequence number is appended to the prefix automatically.


Split a Word document every N pages

Use By Page Count when you want to create a new document after every specified number of pages.

  1. Select By Page Count from the Split by drop-down list.
  2. In the Page Interval box, enter the number of pages each split document should contain. For example, entering 2 creates multiple documents, with each document containing 2 pages from the original file.
  3. Enter a file name prefix if needed.
  4. Choose a save path.
  5. Click Split.

Result: Kutools creates a separate Word document for every specified number of pages. If no file name prefix is specified, the generated files are named sequentially, such as 1.docx, 2.docx, 3.docx, and so on. If a file name prefix is specified, the prefix is added before the sequence number.


Split a Word document by custom page ranges

Use Custom Pages when you want to extract specific pages or page ranges into separate Word documents.

  1. Select Custom Pages from the Split by drop-down list.
  2. In the Enter page range box, enter the pages or page ranges you want to extract. Use commas to separate documents and hyphens for page ranges.
    • 1 = Create one document containing page 1.
    • 3-5 = Create one document containing pages 3 through 5.
    • 1,3-5,10 = Create three separate documents containing page 1, pages 3 through 5, and page 10.
  3. Enter a file name prefix if needed.
  4. Choose a save path.
  5. Click Split.

Result: Kutools creates a separate Word document for each page or page range you entered. If no file name prefix is specified, the generated files are named sequentially, such as 1.docx, 2.docx, 3.docx, and so on. If a file name prefix is specified, the prefix is added before the sequence number.


Split a Word document by Word Count

Use By Word Count when you want to divide a long document into smaller files with a similar number of words. This is useful for drafts, manuscripts, transcripts, and long reports.

  1. Select By Word Count from the Split by drop-down list.
  2. Enter the word interval. For example, enter 1000 to create a new document every 1000 words.

    📝 Note:

    If Avoid splitting paragraphs is enabled, Kutools will ensure that a paragraph is kept together in the same document instead of being split between two generated documents. As a result, the actual word count of a generated document may slightly exceed the specified limit.

  3. Enter a file name prefix if needed.
  4. Choose a save path.
  5. Click Split.

Result: Kutools creates multiple Word documents based on the specified word count while keeping paragraphs intact whenever possible. If no file name prefix is specified, the generated files are named sequentially, such as 1.docx, 2.docx, 3.docx, and so on. If a file name prefix is specified, the files are named using the prefix followed by the sequence number.


Which split method should you use?

The best split method depends on how your document is organized:

  • By Heading – Best for books, reports, manuals, contracts, and other structured documents that use Heading 1 through Heading 5.
  • By Section Break – Best when sections have already been separated using Word section breaks.
  • By Page Break – Best when manual page breaks define where each new document should begin.
  • By Page Count – Best for creating documents with a fixed number of pages.
  • Custom Pages – Best for extracting specific pages or page ranges from a document.
  • By Word Count – Best for dividing large documents into files of similar length.

Regardless of the split method you choose, Kutools for Word preserves the original formatting, including fonts, headings, images, tables, headers, footers, and page layout, while keeping the original document unchanged.


Frequently asked questions

Does Split Document work with Microsoft 365?

Yes. Kutools for Word supports Microsoft 365 as well as Microsoft Word 2024-2013.

Can I split a document that contains images and tables?

Yes. Images, tables, charts, shapes, and other document elements are retained in the generated documents.

Does Kutools keep formatting when splitting a document?

Yes. The split files keep the original document content and formatting, including styles, tables, images, headers, and footers.

Does splitting change the original Word document?

No. Kutools creates new Word documents in the selected save folder and keeps the original document unchanged.

How are the generated documents named?

The file naming method depends on the selected split mode:

  • By Heading – The heading text is used as the document name. If a file name prefix is specified, the prefix is added before the heading name.
  • By Section Break, By Page Break, By Page Count, Custom Pages, and By Word Count – Documents are named sequentially, such as 1.docx, 2.docx, and 3.docx. If a file name prefix is specified, such as "Agreement-", the generated files are named Agreement-1.docx, Agreement-2.docx, and so on.

What happens if two headings have the same name?

Kutools automatically ensures that generated file names remain unique to avoid overwriting existing documents.

Can I choose where the split documents are saved?

Yes. Use the Save Path box in the Split Document dialog box to select the folder where the generated documents will be stored.

Can I split a Word document by Heading 2, Heading 3, Heading 4, or Heading 5?

Yes. In the upgraded Split Document tool, choose By Heading, then select Heading 1 through Heading 5 as the split level.

Can I split a document every 10000 words?

Yes. Select By Word Count, enter 10000 as the word interval, and click Split.

Can I extract only selected pages from a Word document?

Yes. Select Custom Pages, then enter page numbers or ranges such as 1, 3-5, or 1, 3-5, 10.

What is the difference between Page Count and Custom Pages?

By Page Count splits the document every fixed number of pages. Custom Pages extracts only the pages or page ranges you specify.
