How to extract email addresses from mail folders in Outlook?

Extract email addresses from a mail folder in Outlook

The following steps will guide you to extract email addresses from specified message folders in Microsoft Outlook at ease.

1. Open the Import and Export dialog box:
    A. In outlook 2007, please click the File > Import and Export.
    B. In Outlook 2010, please click the File > Open > Import.
    C. In Outlook 2013, please click the File > Open & Export > Import / Export.

2. In the Import and Export Wizard dialog box, please select the Export to a file, and then click the Next button.

3. In the Export to a file dialog box, please select the Comma Separated Values, and then click the Next button.

Note: In Outlook 2007 and 2010, it’s alternative to select the Comma Separated Values (Windows), Microsoft Access 97-2003 or Microsoft Excel 97-2003 in this step.

4. In the Export to a File dialog box, select a mail folder that you will extract email addresses from, and then click the Next button.

5. In the new Export to a File dialog box, please click the Browse button.

6. In the Browse dialog box:
1) Open a folder where you will save the extracted email addresses.
2) Enter a name for the extracted file in the File name: box.
3) Click the OK button.

7. Click the Next button.

8. In the Export to a File dialog box, please click the Map Custom Fields button.

9. Then the Map Custom Fields dialog box comes out.

1) Click the Clear Map button.
2) Select the From: (Address) in the From: box, and then drag it to To: box. Drag the To: (Address), CC: (Address), and BCC: (Address) to To: box with the same way. See the following screen shot:
3) Click the OK button.

10. Click the Finish button.

It may take several minutes to extract all email addresses in the fields of From, To, CC, and Bcc from the folder you specified in the Step 4.

2. In the Add a contact from a message dialog, please specify a contact folder you will save the new contacts to, and click the Start button. See screenshot:

3. Now all email addresses are extracted. Please click the OK button and Complete button successively to finish the work.

Shift to the specified contact folder, you will see all email addresses of senders and recipients are extracted from emails in the certain mail folder, and save as separate contacts in bulk.

2. In the Add Recipients to Contact Groups dialog, please select All senders, All recipients, or All from the Scope drop down list, check the specified contact group you will save extracted email addresses to, and click the OK button. See screenshot:

If i send someone an email and BCC a third person, can that third person export the email address of the person i sent the email to from their email?

Yes. The third person on BCC will see all information of the email except for other persons on BCC.

Hi I did this last week with my sent emails folder and it worked perfectly. When I try it again now, the map custom fields and next button are both greyed out. Tried it with different folders and .pst files. Haven't changed anything. Not sure why its not getting through. Anyone has faced this issue?

The ectract worked, however it is without any dates. So I cannot know when the email was received or sent. Please advise on this.

The built-in export feature does not include the sent or recived time. If you want to have the information, please try Kutools for Outlook's Quick Report feature.
