How to delete email messages (items) permanently in Outlook?

Permanently delete old emails/items from Inbox folder with AutoArchive
For users who wish to automate the cleanup process and ensure that outdated emails do not accumulate in their mail folders, Outlook’s AutoArchive feature provides a practical solution. This feature can be set up to automatically and permanently delete emails older than a specified period, minimizing manual management.
1. In the Navigation Pane, right-click the Inbox folder and choose Properties from the context menu. The Properties dialog for the folder will be displayed.

2. In the Inbox Properties dialog box, switch to the AutoArchive tab. Perform the following steps:
- Check the Archive this folder using these settings option.
- Set the retention period according to your preference, such as "3 months".
- Select the Permanently delete old items option.

3. Click OK to save your changes. From now on, Outlook will automatically and permanently delete items from the selected folder that are older than the specified period, helping keep your mailbox size under control.
Notes:
- AutoArchive operates only when Outlook is running. If you close Outlook, scheduled clean-ups may be delayed until the next time the application is launched.
- You can apply these settings to other folders (such as Sent Items, Calendar, Tasks, etc.) by repeating the process for each desired folder.
- Be sure to check what messages will be affected, as permanently deleted items through AutoArchive cannot be recovered.
AutoArchive is ideal for ongoing maintenance but may not suit scenarios where immediate or selective deletion is needed. Also, corporate IT policies may restrict its use in some environments, so check with your system administrator if you are uncertain.
Permanently delete email messages in the Delete Items folder
If you have already deleted emails and they are sitting in your Deleted Items folder, you can easily and permanently remove them in one go. This approach is convenient for quickly reclaiming mailbox space and maintaining privacy.
1. In the Navigation Pane, right-click the Deleted Items folder (the folder name may be "Deleted Items" or "Trash" depending on your email account type), then click Empty Folder from the context menu.

2. A warning dialog box will be displayed, confirming that you wish to permanently delete all items in this folder. Click "Yes" to proceed.

The deleted email messages (and subfolders, if any) will be permanently removed and cannot be recovered through normal means.
Notes:
- If the Deleted Items folder contains subfolders, all messages and the subfolders themselves will be permanently deleted.
- Consider reviewing the folder before emptying it, as this process cannot be undone.
Permanently remove all deleted items in Outlook
Outlook also provides a built-in option to permanently empty the Deleted Items folder for all accounts via the Mailbox Cleanup tool or directly from the File menu. This method is suitable for users who want to quickly clear all mailbox trash with minimal steps, especially when maintaining a large mailbox.
1. Open the Mailbox Cleanup dialog box by navigating to File > Info > Cleanup Tools > Empty Delete Items Folder. (For Outlook 2007, click Tools > Empty "Delete Items" Folder.)

After confirmation, all items from the Deleted Items folder, including subfolders, will be permanently removed.
Notes:
- Be careful as this will delete all messages and subfolders within the Deleted Items folder for the current mailbox.
- In Microsoft 365 or Exchange environments, items may still be recoverable for a limited period under server retention policy, but this is generally outside of user control.
