How to create a search folder meeting one or multiple criteria in Outlook?

This article is talking about creating a search folder which meets multiple search criteria at the same time, or creating a search folder which meets one of multiple search criteria in Outlook.

If you need to create a search folder meeting multiple common criteria simultaneously in Outlook, please do as follows:

1. In the Mail view, click at any mail folder of the specified email account you will create a search folder in, and click Folder > New Search Folder.

2. In the New Search Folder dialog box, please select the Create a custom Search Folder option, and click the Choose button. See screenshot:

3. Now in the Custom Search Folder dialog box, please type a name for the new search folder into the Name box, and click the Criteria button. See screenshot above.

4. Now you get into the Search Folder Criteria dialog box, Please specify all search criteria on the Messages and More Choices tabs.

For example you need to show all emails from the domain of @163.com and with attachments in the new search folder, you can:

(1) Type the domain into the From box on the Messages tab;
(2) Check the Only items with option and specify one or more attachments from right drop down list on the More Choices tab. See screenshots below:

5. Click the OK > OK > OK buttons successively to close all dialog boxes.

Now the search folder meeting multiple criteria simultaneously is added in the Navigation Pane.

For example you need to create a search folder meeting multiple advanced criteria (from the domain of @163.com, you modified this week, and don’t contain reminders) in Outlook, you can also specify the search criteria on the Advanced tab of the Search Folder Criteria dialog box.

1. You can follow steps we described above to open the Search Folder Criteria dialog box.

2. Go to the Advanced tab in the Search Folder Criteria dialog box, and do as below screenshot shown:

(1) Click the Field > All Mail fields > Reminder;
(2) Select equals from the Condition drop down list;
(3) Select No Reminder from the Value drop down list;
(4) Click the Add to List button.
(5) Specify the search criteria of From contains @ 163.com with above step (1) – (4);
(6) Specify the search criteria of Modified this week with the above step (1) – (3).

3. Click the OK > OK > OK buttons successively to close all dialog boxes.

Now you have added a search folder meeting all specified search criteria in Outlook.

1. Enable the Query Builder with Kutools for Outlook: Click Kutools > Options to open the Options dialog box, check the Restore “Query Builder” tab in Outlook Advanced Find Dialog option on the Others tab and click the OK button in the dialog box. See screenshot:

2. Open the Search Folder Criteria dialog box with steps we described above.

3. Go to the Query Builder tab, and specify all search criteria as you need:

(1) Click Field > All Mail fields > From;
(2) Select contains from the Condition drop down list;
(3) Type the domain into the Value box;
(4) Click the Add to List button;
(5) Specify the search criteria of Modified This week with the above step (1) – (3).

4. Select OR from the Logical Group drop down list. See screenshot:

5. Click the OK > OK > OK buttons successively to close all dialog boxes.

Now the search folder meeting one of multiple specified search criteria is added.
