When working with Microsoft Outlook, it is common to manage multiple email accounts or roles by creating different Outlook profiles. Each profile may contain distinct account settings, data files, and preferences. Situations often arise where you need to log in using a different profile, either temporarily for a short task or permanently to reflect a change in responsibilities or email accounts. Knowing how to effortlessly switch between profiles, or set a new default, can improve productivity and help avoid potential miscommunication.

This guide will introduce two practical methods: temporarily switching to another profile, and permanently changing the default startup profile. Each method has its own advantages and considerations depending on your work habits and security preferences.

Quickly switch/change to other profile

If you need to access Outlook with a different profile without altering the default startup behavior, you can temporarily switch to another profile for your current session. This is particularly useful in shared computer environments, when troubleshooting, or if you maintain separate personal and work profiles.

Before beginning, make sure Microsoft Outlook is fully closed. Any open sessions could interfere with the switch. To proceed, press the Win + R keys simultaneously to open the Windows Run dialog. Carefully type outlook.exe /profiles into the Open field, then click OK.

Outlook will now launch and display the "Choose Profile" dialog box. Click inside the Profile Name dropdown, select your desired profile from the list, and then click OK. If you do not see the profile you want, ensure it was previously created and is available in your system profiles list.

This quick switch method runs Outlook under the selected profile for the current session only. Once you close Outlook and later restart it by clicking Start > Outlook2013/2010/2007 or your version, Outlook will revert to loading the default profile as set in your system. This behavior ensures you do not inadvertently misconfigure your regular startup preferences. Temporary switching is efficient for occasional alternate profile access, but not suitable if you need to routinely start Outlook with a different profile.

For users who wish to permanently change which profile Outlook uses upon startup—useful when transitioning to a new job role, consolidating accounts, or updating security policies—the default profile setting must be updated through the Windows Control Panel. This changes Outlook's behavior so that it automatically loads the selected profile every time you start the application.

1. To begin, right-click any empty area on your desktop and select Personalize from the context menu. This will open the personalization settings window for Windows.

2. From the opened window, look to the left-hand navigation pane and click on the link labeled Control Panel Home. This action brings you to the classic Control Panel interface, where more system management options are available.

3. Within the Control Panel, adjust the view by clicking the dropdown menu beside View by. Choose either Large icons or Small icons to make it easier to locate specific items, including the "Mail" settings for Outlook, which may be harder to find under category view.

4. Next, locate and click on the Mail icon. Depending on your version of Outlook and Windows configuration, this may be listed as "Mail (Microsoft Outlook)" or just "Mail". Clicking this will open the Mail Setup dialog box associated with your Outlook profiles.

5. Inside the Mail Setup dialog, click the Show Profiles button. This opens a list of all existing Outlook profiles on your computer, as well as options for modifying how Outlook selects profiles at startup.

6. In the Mail dialog box, to specify a new default, select the option Always use this profile. In the dropdown menu below, choose the desired profile you want Outlook to use automatically. Once your selection is made, click OK to confirm. This setting ensures that every time you start Outlook in the future, it will automatically log in using the selected default profile without prompting.

7. Close the Control Panel window to complete the process.

After these changes are made, starting Outlook will automatically open with the new default profile you configured. There is no need for additional switching unless requirements change again.

Precautions: Switching the default profile does not delete other profiles. You can repeat these steps at any time to designate a different default. Profiles contain separate account data and settings; make sure the profile you select is correctly configured for your necessary accounts and permissions.
