Easily check the recall status of emails in Outlook

Author: Siluvia Last Modified: 2024-06-20

After attempting to recall an email in Outlook, it's crucial to know whether your action was successful, failed, or remains undetermined. Kutools for Outlook's View Recall History feature provides a straightforward way to check the status of your email recalls. This quick guide will walk you through how to access and interpret recall statuses, helping you stay informed about the success or failure of your recall attempts.

Benefits of using the View Recall History feature

1. Simplified Access:

  • Standard Outlook Process: Typically, checking the recall status in Outlook requires navigating through sent items and manually checking individual recall notifications.
  • Kutools Advantage: Kutools simplifies this with a direct access button that opens the Email Recall Management window, allowing users to quickly view all recall statuses in one place.

2. Comprehensive Recall Status Overview:

  • Standard Outlook Process: Outlook generally provides feedback via individual recall success or failure notifications sent to your inbox, which can get mixed with regular emails.
  • Kutools Advantage: The "View Recall History" window clearly categorizes recall statuses into ‘Successful’, ‘Failed’, and ‘Unknown’. This categorization makes it easier for users to quickly assess the effectiveness of their recall attempts without sifting through multiple notification emails.

3. Time Efficiency:

  • Standard Outlook Process: Finding out whether an email was successfully recalled in standard Outlook can be time-consuming, as it involves opening each recall notification email and reading the details.
  • Kutools Advantage: With just a single click, Kutools displays all necessary information in a user-friendly interface, significantly reducing the time spent on managing recalled emails.

4. Enhanced Organizational Capabilities:

  • Standard Outlook Process: Users must remember or manually track which emails they have attempted to recall, which can lead to errors and oversight.
  • Kutools Advantage: Kutools automatically tracks and displays all recall attempts, ensuring that nothing is overlooked and providing a reliable log of all actions taken.

Use the View Recall History feature to check the email recall status

This section will show you how to use this View Recall History feature to check the recall status of sent emails in Outlook.

  1. After installing Kutools for Outlook, go to the Kutools tab, select Respond > Recall Email History.
  2. When the Recall Email History window appears, it lists all the emails you have recalled. By default, the details of these emails are collapsed. Here’s how you can view the recall status:
    • View the recall status of an individual email
Expand an individual email by clicking the right arrow before its entry. The recall status will then be visible in the Recall Status column.
    • View recall status of all emails
To see the recall status of all emails at once, right click on any email in the list and select Expand All from the context menu.
This action will expand all entries, allowing you to view each email's recall status in the Recall Status column.
  3. After checking the status of the recall, close the Recall Email History window.
  • Three recall statuses are provided in the window, including Recall Successful, Recall Failed and Status Unknown.
  • There are more options in the right-clicking menu.
    • View Email: This option allows you to open and view the specific email that you have selected from the list. It’s useful for examining the content of the recalled email.
    • Refresh List: Selecting this option will update the list of recalled emails. This is helpful to ensure that the display reflects the most current information, especially after new recall actions or changes in the status of existing recalls.
    • Expand All: This command expands all the email entries in the list to show additional details about each one, such as the recall status. It's a quick way to view all the information without having to click each email individually.
    • Collapse All: Opposite of Expand All, this option collapses all the email entries to hide their detailed information. This makes the list more compact and can help you navigate more easily when the expanded details are not needed.
