How to add and use camera tool in Excel?
In Excel, there are situations where you may need to visually present a dynamic view of your data—for example, displaying a live snapshot of a data range or chart within a dashboard, or referencing calculations in various worksheets without losing the visual structure. The ability to create an image that automatically updates when the original data changes is especially useful for ongoing reports, visual summaries, and interactive models. While Excel does not provide a standard screenshot feature that updates dynamically, you can achieve this by adding the Camera tool to Excel's Quick Access Toolbar. This feature allows you to capture a range of cells or a chart as an image, paste it anywhere in your workbook, and keep it synchronized with the source data.

Add Camera tool in Excel
To enable the Camera tool—which is not shown by default—you need to manually add it to Excel’s Quick Access Toolbar. Follow these steps to add it:
1. Locate the Customize Quick Access Toolbar button, which appears as a small drop-down arrow at the top left of the Excel window. Click on it, then choose More Commands from the drop-down list. See screenshot below:

Tip: If you are using Excel2007, you can also right-click on any empty space within the Toolbar and select Customize Quick Access Toolbar. This will open the Excel Options dialog, where you can manage available Toolbar commands.
2. In the Excel Options dialog, look for the Choose commands from dropdown on the left side. Select Commands Not in the Ribbon to access commands that are not by default displayed in Excel’s tabs. Scroll through the command list and select Camera. Refer to the screenshot:

3. Add the Camera tool by clicking the Add button, which moves it into the list on the right—this represents the tools that will appear on your Quick Access Toolbar. See screenshot:

4. Click OK to confirm your changes and close the dialog. The Camera tool icon now appears in the Quick Access Toolbar at the top of your Excel window, making it easily accessible for future use.

Use camera tool in Excel
Once you have added the Camera tool to your Quick Access Toolbar, you can use it to create a dynamic image of any cell range or chart. This is helpful in scenarios such as monitoring key metrics, making interactive dashboards, or sharing visual summaries across worksheets that update with your source data.
To use the Camera tool, follow these steps:
1. First, select the range of cells or chart you wish to capture. For example, select A1:B6. Refer to the picture below:

2. With the range selected, click the Camera tool icon on your Quick Access Toolbar. See screenshot:

3. Move your mouse to the destination worksheet or section where you want the screenshot to appear, and click to insert the live image. The output will be displayed as a floating picture object. See example below:

Tip: The inserted picture maintains a live link to the original data source. If the data in the selected cells changes, the picture will automatically update to show the latest values. You can resize or drag this image within your worksheet as needed. Note that formatting changes, such as cell background color or font style, will also reflect in the image. If you delete or move the original cell range, the image connection may break—so avoid deleting the source data unintentionally.
This method works well for both regular cell ranges and charts, making it ideal for presenting up-to-date summaries, dashboards, and analysis snapshots.
If the Camera tool does not work or you encounter unexpected behavior, try closing and reopening Excel, or re-adding the Camera tool to the Quick Access Toolbar. Compatibility issues are rare but can occur in some older versions or customized environments.
Excel Formula - Use the Paste as Linked Picture feature
Another practical way to achieve a similar dynamic image effect in Excel is by using the Paste Special > Linked Picture feature. Unlike the traditional screenshot method, the Linked Picture creates an image that updates automatically with changes in the source data. This approach does not require enabling extra tools—it relies on Excel’s built-in clipboard options.
This solution is especially suitable when you want to quickly create a dynamic visual of a cell range, when the Camera tool is unavailable, or if you are collaborating on workbooks where add-ins and custom toolbars are not recommended.
Here’s how to use the Paste as Linked Picture:
1. Select the range in the worksheet you want to display as a dynamic image. For example, choose A1:B6.
2. Copy the selection by pressing Ctrl+C or right-clicking the selection and choosing Copy.
3. Navigate to the destination worksheet or desired location.
4. In the destination, right-click and select Paste Special > Linked Picture. In some versions of Excel, you may need to choose Paste as Picture then select Linked Picture from the dropdown. If you do not see this option directly, you can access it through the Paste Special dialog by clicking the small arrow under the Paste icon in the Home tab.
5. The pasted image will appear and automatically update whenever the values in the source range change. You can drag or resize the image as needed, similar to the Camera tool output. It is recommended that you keep the source cells intact—otherwise, the link may be lost and the image may not update.
This feature is quick and easy for dashboards, summary sheets, and report templates, especially when you need to present always up-to-date visuals without installing add-ins or setting up custom toolbars. If the Linked Picture option isn’t available, ensure you are using a recent version of Excel, as the feature may not appear in older releases.
One limitation is that you cannot directly edit the data within the picture—you must make changes in the source cells, and the image will update in real time. Also, formatting changes (such as font color and cell highlights) are reflected in the linked picture.
Troubleshooting tip: If your Linked Picture doesn’t update, check that the source data has not been moved or deleted. If the image appears blank or with error text, recreate the link by repeating the above steps.
For larger dashboards, you can use multiple linked pictures to bring various data ranges together visually, and position them as needed without affecting the source calculations.
