How to prevent page break from splitting merged cells in Excel?

When printing an Excel worksheet, you may find that vertically merged cells are sometimes split across two pages by an automatic page break, as demonstrated in the screenshot below. This issue can make your printed document confusing or difficult to follow, especially when merged cells are used for headers, grouped data, or summary information. Preserving the integrity of merged cells during printing is important for improving clarity and ensuring that related information appears together. In this guide, we’ll share several techniques to help you prevent page breaks from dividing merged cells, keeping your worksheet’s layout neat and readable on printed pages.

Prevent page break across merged cells by adjusting the page break line manually

One straightforward way to address this issue is by manually adjusting the page break lines in your worksheet. This approach is practical when you have a manageable number of merged cells and you want precise control over how your data appears on each printed page. It’s especially useful if your merged cells are located in predictable positions rather than scattered throughout the worksheet. However, for large or frequently changing worksheets, you may need to repeat these adjustments whenever your data or print settings change.

1. Open the Page Break Preview in your worksheet by clicking the Page Break Preview button on the Status Bar. This will switch your display mode to show exactly where automatic and manual page breaks occur. See screenshot:

2. All page break lines will appear as thick blue lines in Page Break Preview mode. You will be able to see at a glance which page breaks may be intersecting your merged cells.

3. To resolve any issue where a merged cell is split across two pages, adjust the page break line so the merged cell fits on a single page boundary:

3.1) Identify the page break (horizontal or vertical) that intersects the merged cell.
3.2) Drag that page break line using the mouse—up/down for horizontal, left/right for vertical—until the entire merged cell is inside one page.
3.3) Check the edges around the merged cell to confirm no part spills onto the next page.

Tips:
  • If you make a mistake or want to reset the page breaks, go to the Page Layout tab, click Breaks, and then select Reset All Page Breaks to revert your changes.
  • Try to avoid placing important merged cells near the default page break positions, especially if your worksheet or print settings may change frequently.
Note: If you have many merged cells in unpredictable places, or if your worksheet layout changes often, repeating manual adjustments may become time-consuming. In these cases, consider an automated method such as a VBA macro.
