How to select a range of pages from whole document in Word?

AuthorSunLast modified

When working with lengthy Word documents, you might often need to select multiple consecutive pages, whether for copying, formatting, or reviewing content. Manually selecting content across several pages can be inefficient and prone to errors, especially in large documents. Thankfully, Word offers several practical solutions that allow you to accurately and efficiently select any range of pages you need. In this guide, we’ll explore three effective methods - using simple keyboard shortcuts, advanced functionality in Kutools for Word, and a VBA solution - so you can choose the approach that best fits your workflow and technical comfort.

Select a range of pages using Shift key

The simplest way to select a range of pages is by using the keyboard and mouse together. This method is straightforward, making it ideal for quick selections in small to medium-sized documents.
Advantages: Quick and requires no additional tools.
Limitations: Can be inaccurate in documents with complex layouts, section breaks, or large numbers of pages, as accidental scrolling or misplacement can deselect content.

  1. Position your cursor at the very beginning of the content you want to include in your selection.
  2. Scroll down to the last page of your desired range.
  3. Hold down the Shift key and click at the end of the content of your selection range. All the content between your first and last click will be highlighted.

Tips: To make sure you select the correct range, switch to Draft or Outline view for better navigation. Be aware that if your document contains section breaks, some special formatting or headers/footers might not be included in the selection.

Kutools for Word streamlines the selection of one or multiple pages, providing an intuitive way to quickly highlight the exact content you need, whether the pages are consecutive or not. This makes it highly effective for editing, reviewing, or formatting specific portions of large or complex documents.

Limitations: Requires installation of Kutools for Word.

Kutools for Word

Kutools for Word helps you handle everyday document tasks faster with practical tools built right into Microsoft Word—no coding, no complex setup.

  • AI writing, polishing, translation, and summarization
  • Batch find and replace across documents
  • Merge and split Word documents easily
  • Batch Word ↔ PDF conversion
  1. Click Kutools > Select > Pages > Select Pages on the ribbon.
    Select Pages option on the Kutools tab on the ribbon
  2. In the Select Pages dialog box, choose your selection method:
    • To select a range of consecutive pages, choose the Select pages according to range option. Then, enter the starting and ending page numbers in the provided input boxes. The entered numbers should correspond to the page numbers shown in your Word document's status bar or navigation pane.
      Parameter explanation: Make sure the range you specify (e.g., from page4 to page10) actually exists in your document.
    • To select specific individual pages, even if they are not continuous, select Select pages according to selection and check the desired page numbers from the list box.
      Select Pages dialog

      Precautions: If page numbers in your document are formatted with custom numbering (such as Roman numerals or by section), double-check that you are specifying the correct page numbers for your needs. The plugin counts pages as Word displays them, starting from the first physical page.

  3. Click OK or Apply to finalize the selection. The specified pages will be instantly highlighted.

Troubleshooting: If the wrong pages are selected, simply reopen the Select Pages dialog and adjust your choices as needed. Any existing selection will be replaced by your new selection.

Using Kutools makes batch selection much more manageable and efficient, especially for recurring tasks or working in large documents.

Select a range of pages with VBA

If you frequently need to select a specific and exact range of pages, using a VBA macro offers a highly customizable and automatic method. This solution is excellent for automating repetitive selection tasks or when precise control over the selection is necessary - such as for documents with complex formatting, varying headers, or footers.
Advantages: Allows for precise page range selection, reusable for recurring routines, and highly customizable.
Limitations: Requires basic familiarity with the VBA editor; accidental running with incorrect page numbers may trigger errors.

  1. Select your Word document and ensure it's the active window. Press Alt + F11 to open the Microsoft Visual Basic for Applications window.
  2. In the VBA window, click Insert > Module. Copy and paste the VBA code below into the new module.
    VBA code: Select a range of pages in Word
    Sub selectpages()
    Dim rgePages As Range
    Selection.GoTo What:=wdGoToPage, Which:=wdGoToAbsolute, Count:=2
    Set rgePages = Selection.Range
    Selection.GoTo What:=wdGoToPage, Which:=wdGoToAbsolute, Count:=6
    rgePages.End = Selection.Bookmarks("\Page").Range.End
    rgePages.Select
    End Sub

    Parameter explanation: In the provided code, Count:=2 and Count:=6 define the starting and ending page numbers to be selected. Modify these values to match the page range you wish to select.
  3. Close the VBA editor, return to Word, and press F5 to run the macro. The macro will automatically select pages2 to6 if the default values are unchanged.

Note: Change Count:=2 and Count:=6 in the code to select a different range of pages. Remember, the page numbers should match those used by Word’s built-in page count (not custom page numbering that restarts for each section).

Tips: Always save your document before running macros, as VBA actions cannot be undone with the standard Undo command. If an error message appears, verify that the specified page range exists and that the macro was pasted correctly. For troubleshooting, press F8 in the VBA editor to step through your code line by line and identify where any issue arises.

Summary suggestion: Among these methods, choose the one based on document complexity, frequency of use, and your familiarity with Word. For simple, one-time selections, the Shift key or Navigation Pane methods are adequate; for regular or complex selections, Kutools for Word or a VBA solution increase both speed and accuracy.

Select a range of pages using Navigation Pane (for documents with headings)

For documents that contain headings, you can use Word’s built-in Navigation Pane to quickly jump between sections and select an entire range of pages. This method is fast and convenient when working with well-structured documents, making it easier to select large portions of content without scrolling manually.
Advantages: No add-ins required, enhances navigation in structured documents.
Limitations: Less precise for documents without headings; does not support selection of discontiguous page ranges.

  1. Go to the View tab in Word and check the Navigation Pane option. The Navigation Pane will appear on the left side of your window.
  2. In the Navigation Pane, click the heading that appears closest to your starting page, then place your cursor at the beginning of that page.
  3. Next, click the heading closest to your ending page. Hold down the Shift key and click at the end of the content to select the entire page range.

Tips: This method works best if you use heading styles in your document, allowing you to jump between sections quickly using the Navigation Pane.

Precautions: Be mindful that this approach may inadvertently exclude unheaded content or in-between text not marked by a heading.
