How to Rename and Edit Quick Parts Entries in Outlook?

After you create a few Quick Parts entries in Outlook, you may run into situations where you need to rename the entries. Or you misspell the contents in entries, so you must correct them. Or some information is outdated, so you need to update them. Naturally, here comes the question. How should we rename and edit the existing Quick Parts entries? This tutorial will show you the methods to do the trick.

Note: Here takes Microsoft Outlook 365 as an instance, the steps and descriptions may have some differences in other Outlook versions.


Rename the Quick Parts Entries

To change the name of an entry of Quick Parts, please do as follows.

1. In Outlook, go to the Home tab, click New Email to open the page of composing a new message.

2. Place the cursor in the body of the email, then click Insert > Quick Parts. You can see the list of Quick Parts entries.

3. Place the cursor on the entry you want to rename, and right-click on the entry. Then click Edit Properties in the right-click menu.

4. The Modify Building Block pops up. Input the new name for the entry in the Name box. Here I change the name “Reply Noti” to “Reply Notification”.

5. Click the OK button. A Microsoft Outlook alert message pops up, asking you whether to redefine the building block entry. Click Yes.

Now this entry’s name is changed successfully. You can check it in the list of Quick Parts entries.

Note: Remember not to save the Quick Parts Entries in Plain Text format because we can't access the Edit Properties option. Please see the screenshot below. Please save the Quick Parts Entries in HTML or Rich Text format for future modifications.


Edit the Quick Parts Entries

When we need to correct or update the contents of Quick Parts entries, even though we cannot change the contents directly, we can insert the entry in the email body, re-edit the content, and save the updated contents to the Quick Part Gallery, using the same name. Then the original entry will be overwritten by the new one.

Here we want to update the content of the Quick Parts entry, named "Kutools for Outlook". In this entry, we need to change the free trial period from 30 days to 60 days. Please do as follows.

1. In Outlook, go to the Home tab, click New Email to open the page of composing a new message.

2. Place the cursor in the body of the email, then click Insert > Quick Parts. Click the entry whose content should be updated.

3. The entry content is now inserted in the email body. Re-edit the content as needed. In this case, the free trial period is updated to 60 days.

4. Select the edited content, then click Quick Parts > Save Selection to Quick Part Gallery.

5. The Modify Building Block pops up. Make sure the name you type in the Name box is the same as the old entry name. Here I input the name “Kutools for Outlook”. Click the OK button.

6. A Microsoft Outlook alert message pops up, asking you whether to redefine the building block entry. Click Yes.

Now this entry’s content is changed successfully. You can check it in the list of Quick Parts entries.
