Connect an AI service before using Proofread

Before you can proofread a Word document with AI Proofread, Kutools for Word must be installed and an AI service must be connected. The following steps show how to open Proofread for the first time and configure the AI settings, so the feature can generate correction suggestions for grammar, spelling, punctuation, and wording issues.

Step 1: Open AI Proofread

Open the Word document you want to proofread. Then click Kutools > Proofread. The Real-Time Assistant pane will open on the right side of the document, with the Proofread tab selected.

If Scan Entire Document on Start is enabled, AI Proofread automatically scans the whole document when the Proofread feature starts. This option is enabled by default after installing Kutools.

After the scan is complete, possible writing issues are marked with underlines in the document and listed in the Proofread tab. The pane also shows the total number of detected issues, such as Proofread (10).

AI Proofread shows proofreading results in two connected ways:

  • In the document: Possible issues are marked with underlines. Click an underlined issue to open a suggestion popup beside the text, where you can view the suggested correction, issue type, and action buttons.
  • In the Proofread tab: The Proofread tab lists detected issues, AI suggestions, and the total issue count. If not all issues are visible at once, use the scroll bar to view more suggestions.

The document and the Proofread tab stay synchronized. Click an underlined issue in the document to move to the matching suggestion in the tab, or click a suggestion in the tab to locate the corresponding underlined text in the document.

Step 4: Accept, Dismiss, or Always Ignore suggestions

For each proofreading suggestion, choose the action that best fits your document. You can use these buttons from the suggestion popup in the document or from the matching suggestion in the Proofread tab.

  • Use Always Ignore for repeated non-errors: This is useful for product names, brand terms, personal names, technical words, abbreviations, or intentional wording that should not be repeatedly marked as an issue.
  • Recheck after editing: If you edit the document after proofreading, click Recheck to scan the document again. This refreshes the issue count, underline marks, suggestion popups, and suggestion list.

Change the underline marking style

AI Proofread marks detected issues with underlines in the Word document. If you want the marks to be more noticeable or better match your review preference, you can change the underline style.

  1. On the Kutools tab, click the drop-down arrow next to Proofread, and then select Marking Style.

Scan Entire Document on Start controls whether AI Proofread automatically scans the whole document when the feature starts. After installing Kutools, this option is enabled by default.
