Save a frequently used table format for repeated use in Word using Kutools

If you frequently use the same table layout, such as schedules, checklists, task trackers, project summaries, or any other structured format, re-creating it from scratch each time can be tedious and time-consuming. Kutools for Word makes this much easier by letting you save the entire formatted table as a reusable AutoText entry. This means you can rebuild a fully styled table, including borders, colors, fonts, and header rows, with a single click.

Step-by-step guide to save a frequently used table format for repeated use using Kutools for Word

  1. Open the AutoText pane
  2. Add the table to AutoText as a reusable entry
  3. Insert the saved table format wherever you need it
  4. Update a saved table AutoText entry
  5. Use AutoText entries across devices
Tip: You can save not only tables, but also formatted paragraphs, images, and plain text as AutoText entries, so they are inserted exactly the way you saved them.

Open the AutoText pane

  1. Open the Word document that contains the table you want to save as an AutoText entry.
  2. Navigate to the Kutools tab and click AutoText to open the AutoText pane.

Add the table to AutoText as a reusable entry

  1. Click the small move handle at the top-left corner of the table to select the entire table (including its formatting and any content you want to keep in the reusable version).
  2. Click the New AutoText button in the AutoText pane toolbar.
  3. In the "New AutoText" dialog that appears, enter a "Name" for the table to make it easy to recognize later.
  4. Pick a "Category" or create your own so you can organize reusable tables more easily.
  5. Click Add to save the selected table as an AutoText entry.

Insert the saved table format wherever you need it

  1. Place the cursor at the position where you want the table to appear.
  2. Open the AutoText pane (if it is not already open) with Kutools > AutoText.
  3. Expand the category that contains your table, then click the table entry to insert it into your document.

    Notes: The saved AutoText table is inserted as a new table; it cannot be applied as a simple style to an already existing table.

Update a saved table AutoText entry

  1. Insert the saved table AutoText entry into your document.
  2. Make any changes you want to the table’s content or formatting.
  3. Select the updated table, then click the New AutoText button and save it with the same name to overwrite the existing entry.

Use AutoText entries across devices

Once you create an AutoText entry, it becomes available in any Word document on the same computer, as long as Kutools for Word is installed and enabled. This means you can reuse your saved tables instantly without rebuilding or reformatting them every time.

If you work on multiple devices, Kutools also makes it easy to take your AutoText library with you. You can export all your saved AutoText entries from one computer and import them on another using the built-in “Export” and “Import” options. This lets you keep the same set of reusable tables, along with any other AutoText items, fully synced across your devices.
