How to find and replace exact match in Excel?
Excel's Find and Replace feature normally replaces the search text wherever it appears. For example, if you replace tools with office, a cell containing Kutools becomes Kuoffice. To avoid changing partial matches, you need to tell Excel to replace only cells whose complete content matches the search term. The methods below show how to do this in Excel, how Word handles whole-word matches, and how Kutools for Excel provides additional control over the search scope.

Compare the three matching methods
These methods do not define a match in quite the same way. Excel and Kutools compare the search term with the full cell content, while Word checks whether the term appears as a complete word.

Use Find and Replace for exact matches in Excel
For an ordinary worksheet or workbook, Excel's built-in option is usually the simplest approach. Selecting Match entire cell contents limits the replacement to cells that contain only the text entered in the Find what box.
- Select the range you want to check. In this example, only cells containing exactly tools will be changed to 2015.
- Press Ctrl + H to open the Find and Replace dialog box. Type the original text in Find what and the new text in Replace with.
- Click Options >>, and then select Match entire cell contents. This prevents Excel from replacing the search text when it forms only part of a cell's content.
- Click Replace All. Excel reports how many replacements were made, and cells such as Kutools remain unchanged.
- Click OK, and then close the Find and Replace dialog box.
Replace whole words in Excel data with Microsoft Word
Word offers a slightly different type of matching. Its Find whole words only option finds tools when it appears as a standalone word, including in an entry such as Excel tools, but ignores it inside Kutools. This is useful for word-based replacements, although the data must first be copied to Word and then pasted back into Excel.
- Copy the Excel data and paste it into a new Word document.
- Select the pasted data in Word, and then press Ctrl + H. In the Find and Replace dialog box, enter the text to find in the Find what box and the replacement in the Replace with box.
- Click More >> to expand the dialog box, select Find whole words only, and then click Replace All.
- Word replaces the whole-word matches in the selected content.
- Copy the updated data from Word and paste it back into Excel.

The option also works with numbers. In the example below, Word replaces the standalone 1 in entries such as Tools-1 and Review-1 with sky. Values such as 21, 12, and 16 remain unchanged because the 1 is part of a larger number.

Replace exact text without changing partial matches with Kutools for Excel
Kutools uses the same whole-cell rule as Excel but gives you more control over where the replacement runs. In the Find and Replace pane, you can work with the current selection, selected worksheets, the active workbook, or specific open workbooks without setting up the search again for each sheet or file.
After installing Kutools for Excel, follow these steps:
- Click Kutools > Navigation.
- In the Navigation pane, click the
button to open the Find and Replace pane. Then configure the settings shown below. 
- Select the required search scope from the Within drop-down list. In this example, select Selection.
- Click the
button, and then select the range to process. - Enter the search text in the Find what box and the replacement text in the Replace with box.
- Select Match entire Cell.
- Click Replace All.
- Only the cells whose entire content matches the search text are replaced.

Why does Excel replace text inside a longer word?
By default, Find and Replace looks for the search term anywhere in a cell. Select Match entire cell contents when you want Excel to replace only cells that contain the exact text entered in the Find what box.
What is the difference between whole-word and whole-cell matching?
Whole-word matching can find tools in Excel tools because it appears as a separate word. Whole-cell matching finds it only when tools is the complete content of the cell.
Can an exact-text replacement also be case-sensitive?
Yes. Select both Match case and Match entire cell contents. Excel will then match both the complete cell content and its capitalization.
Can I replace exact matches on selected worksheets only?
With Kutools for Excel, choose Selected Sheets in the Within list, and then select the worksheets you want to include. Excel's built-in dialog limits the scope to the active sheet or active workbook.
Why can’t Find and Replace locate text that looks identical?
The cell may contain leading or trailing spaces, line breaks, or other nonprinting characters. Whole-cell matching treats these as part of the content, even when they are not visible.
