How to Find and Break Broken Name Links in Excel
AuthorZhoumandy•Last modified
Excel may show external link warnings even when you cannot see any linked formulas in the worksheet. One possible reason is that the external link is hidden in a defined name or named range. These hidden external references are often called name links.
In this tutorial, you will learn how to find and break broken name links in Excel. First, we will use Excel’s built-in Manage Workbook Links pane to break broken source workbook links. Then, we will show a more precise way with Kutools for Excel, which lets you filter the link type to Name and batch break selected name links more clearly.

Why name links are hard to find in Excel
A name link is an external workbook reference stored in a defined name or named range. Unlike a normal cell link, it may not appear directly in a worksheet formula. This is why Excel may show an external link warning even when the worksheet itself looks clean.
For example, a cell may use a defined name like this:
At first glance, this formula does not show any external workbook path. However, in Formulas > Name Manager, the name North_Target may actually refer to another workbook:
If that source workbook is moved, renamed, deleted, or unavailable, the defined name may become a broken name link. Excel may detect the external source workbook, but it may not clearly show that the link is stored in a defined name.
This is the main pain point of broken name links: you may know that the workbook links to an external file, but you may not know whether the link comes from a cell formula, a defined name, a PivotTable, a shape, or another workbook object.
Method 1: Break broken workbook links with Excel's Workbook Links pane
Excel’s Manage Workbook Links pane can break links to missing or unavailable source workbooks. This method is useful for a simple cleanup when you want to remove broken external workbook links and keep the current calculated values.
- Open the workbook that shows the external link warning.
- Open the Workbook Links pane using one of the following ways:
- If Excel shows an update link warning bar, click Manage Workbook Links.

- Or go to the Data tab, then click Workbook Links. In some older Excel versions, you may see Edit Links instead.

- If Excel shows an update link warning bar, click Manage Workbook Links.
- In the Workbook Links pane, find the source workbook with a warning sign. Click the three-dot More Commands button next to that broken source workbook. Then click Break links.

- When Excel asks you to confirm, click the confirmation option to continue.

- Repeat the process if there are more broken source workbooks and save the workbook.
Result: The selected broken workbook link is removed. Formulas or names that referred to that source workbook are usually replaced with their current calculated values, so the workbook no longer depends on the missing or unavailable file.
- Excel shows links by source workbook, not by link type.
- You cannot easily tell whether a broken link comes from cells, names, PivotTables, or shapes.
- You may need to break multiple broken source workbooks one by one.
- Using Break all may also remove normal workbook links that still work.
- It is not ideal when you only want to target broken Name links.
Method 2: Find, filter, and batch break name links with Kutools
If you want to focus only on broken links stored in defined names, Kutools for Excel provides a more precise way. With the Find and Break Broken Links feature, you can filter the link type to Name, review the listed records, and batch break selected name links without mixing them with cell, PivotTable, or shape links.
- Open the workbook that contains the broken name links.
- Click Kutools > Link > Find and Break Broken Links.

- In the Find and Break Broken Links dialog box,
- Use the In worksheet drop-down list to choose the worksheets you want to check.
- Open the Type drop-down list and select Name.
- All external links are listed and checked, and grey records indicate invalid links. Open the Status drop-down list and select Invalid to select only the broken cell links.
- Click Break Links to remove the selected name links.

💡Tip: Selecting Name in the Type drop-down list helps you focus on links related to defined names, instead of reviewing all workbook links together.
Result: Kutools breaks the selected name links and shows the processed records in the dialog box. External references stored in defined names are removed, helping the workbook stop depending on missing or unavailable source files.
- Lists detected external links in a clear dialog box
- Lets you filter links by Name type
- Helps focus on external references stored in defined names
- Makes it easier to review name link records before breaking them
- Allows you to uncheck links you want to keep
- Can batch break selected name links in one place
- More precise than breaking links only by source workbook
Excel vs. Kutools: which method should you use?
Both methods can help remove broken workbook links, but they are better for different situations. Excel’s Manage Workbook Links pane is useful for simple cleanup by source workbook, while Kutools is more efficient when you need to target Name links specifically.

Frequently asked questions
What is a name link in Excel?
A name link is an external workbook reference stored in a defined name or named range. It usually appears in the Refers To box of Name Manager instead of directly in a worksheet cell.
Why can Excel show an external link warning when I cannot see linked formulas?
The external reference may be hidden in a defined name, chart, data validation rule, PivotTable, or another workbook object. If it is stored in a defined name, you can check it from Formulas > Name Manager.
Can Manage Workbook Links break name links?
Yes, it may break the source workbook link, including links caused by defined names. However, it does not clearly separate links by type, so you may not know whether the link comes from a cell, name, PivotTable, or shape.
Why not delete the name directly in Name Manager?
If the defined name is still used in formulas, charts, data validation, or other features, deleting it may cause errors such as #NAME?. If the name is still needed, edit the Refers To reference or use a safer link-breaking method.
Why should I avoid Break all in Excel?
Break all may remove both broken links and normal workbook links that still work. If your workbook contains valid external links, break only the links you are sure you no longer need.
Can Kutools find only name links?
Yes. In the Find and Break Broken Links dialog box, select Name from the Type drop-down list to focus on external links related to defined names.
With Kutools for Excel, you can quickly list external links, filter them by Name type, review name link records, and batch break selected links in just a few clicks.
