Create, Edit, Rename, or Remove a Custom view in Outlook

By default, there are four preset views for the mail folders: compact view, single view, and preview view. Sometimes, we might have changed the view settings in the current mail folder, says adding a specific column, setting conditional formatting rule for special messages, applying filter / sort / group rules, etc. In these situations, we can save the view as a custom view. Meanwhile, we can also remove, edit, or rename custom views too.

Note: This tutorial is introduced based on exchange account in Microsoft Outlook 2019 desktop program in Windows 10. And it may vary significantly or slightly depending on the types of email accounts (Exchange, IMAP or POP), the versions of Microsoft Outlook, and Windows environments.


1. Save a custom view

In some cases, the preset views may not meet your needs. Therefore, you need to customize the view settings in order to display special emails. This tutorial will show you two solutions to save a custom view in Outlook.

1.1 Save the current custom view as a new view

If you have customized the current view, you can save the current custom view as a new directly. Please do as follows:

1. After changing the current view, please click View > Change View > Save Current View As a New View.

2. In the Copy View dialog, please enter the new view name in the Name of new view box, check one option in the Can be used on section, and click the OK button.

Now the new custom view is saved and added in the Change View drop-down menu.

1.2 Create a new custom view

If you want to create and save a completely new custom view, please do as follows:

1. Open the folder for whom you will create a custom view, and click View > Change View > Manage Views.

2. In the Manage All Views dialog, please click the New button.

3. In the Create a New View dialog, please do as follows:
(1) In the Name of new view box, please type in a name as you need;
(2) In the Type of view list box, please click to select a view type as you need;
(3) In the Can be used on section, please check one option as you need;
(4) Click the OK button.

4. Now the Advanced View Settings dialog comes out. Please configure the view settings as you need, and click the OK button.

5. Now you return to the Manage All Views dialog, please click the OK button to save the new custom view, or click the Apply View button to apply this custom view immediately as you need.


2. Edit a custom view

If you have created a custom view in Outlook, you can edit it easily. This tutorial will show you the steps in detail.

1. Click to open the folder whose custom view you will edit, and click View > Change View > Manage Views.

2. In the Manage All Views dialog, please click to select the custom view you will edit, and click the Modify button.

3. Now the Advanced View Settings dialog pops out. Please change the view settings as you need, and click the OK button.

4. In the Manage All Views dialog, please click the OK button to save the changes, or click the Apply View button to apply this custom view at once.

Note: You can also follow this tutorial to edit the preset compact view, single view, and preview view as well.

3. Rename a custom view

If you have created a custom view in Outlook, you can not only modify the view settings of the custom view, but also rename it. This tutorial will show the steps to rename a custom view.

1. Click to open the folder whose custom view you will rename, and click View > Change View > Manage Views.

2. In the Mange All Views dialog, please click to select the specified custom view you will rename, and click the Rename button.

3. In the Rename View dialog, please type in a new name, and click the OK button.

Now the specified custom view is renamed.

Note: The preset views, including compact view, single view, and preview view cannot be renamed.


4. Remove a custom view

This tutorial is talking about how to remove a custom view from a folder in Outlook.

You can quickly remove a custom view as follows:

1. Click to open the folder whose custom view you will remove, and click View > Change View > Manage Views.

2. In the Manage All Views dialog, please click to select the specified view you will delete, and click the Delete button.

3. In the popping out reconfirming dialog, please click the Yes button.

So far, the specified custom view has been removed from the selected folder.

Note: The preset views, including compact view, single view, and preview view cannot be removed.
