  • Block Senders: This utility can help to block all emails which send from a specific person. Enable this utility after selecting an email contains the sender you will block, then all emails sent from this person will be automatically moved to the Junk Email folder when they arrive.
  • Block Sender Domains: With this utility, you can easily block all emails which send from a specific email domain. For example, if you select an email which the sender domain is "@gmail.com" and enable this feature, all emails send from this domain "@gmail.com" will be automatically moved to the Junk Email folder when they arrive.
  • Block Subject: This utility can detect and intercept the emails that containing the words you have configured to be the blocked subjects in the email subject line. After enabling this utility, those emails that contain the subject that meet the conditions will be moved to the Junk Emails folder automatically when they arrive.
  • Block Body: With this feature, you can easily block emails by specific body content after configuring the texts to be the blocked body. For example, you can block all emails which include the phrase "Rolex watch" in the body when they arrive.
  • Never Block Senders: Add one email sender's address or multiple email senders' addresses into never block sender list so that you can always receive all emails from them no matter how you configure the block or filter rules.

Mark Deleted Items As Read: When deleting emails from the Inbox folder without reading them, these emails will be displayed as unread status in the Deleted Items folder. This feature can help you to quickly mark all unread deleted items in the Deleted Items folder as well as the subfolders as read with only one click.

Fixed Formatting: This group includes two features "Fix Reply Formatting" and "Fixed Forward Formatting" to help you easily reply or forward messages with a fixed formatting without setting the format each time manually:

  • Fix Reply Formatting: By default, Outlook always replies with the initial format of the received messages. This utility can help to easily set one format as the default replying format in Outlook and always use it when repling in the future. Besides the default formatting of Outlook, this feature prvides three formattings for replying emails:
    1) The HTML formatting, 2) The Plain Text formatting, 3) The RTF formatting.
  • Fix Forward Formatting: By default, Outlook always forward in the same format (Plain Text, Rich Text or HTML) of the original message. This utility can help to easily set one format as the default forwarding format in Outlook and always use it when forwarding emails in the future. Besides the default formatting of Outlook, this feature prvides three formattings for forwarding emails:
    1) The HTML formatting, 2) The Plain Text formatting, 3) The RTF formatting.

Email Warning: This group collects two features that can pop up warning when replying or sending emails meeting specific criteria in Outlook.

  • BCC Warning: After enabling this utility, a warning dialog will pop up when you apply the Reply All function of an email which your email address locates in the BCC field.
  • Remind me when I send a message that’s missing attachments: By default, Outlook can identify if a sending email is missing attachment or not. With this feature, you can create your own keywords for missing attachment warning. When sending an email with the specified keywords in subject or body without attaching attachments, a warning dialog will pop up to remind you that you may have forgotten to attach a file.

Schedule auto send: Recurring emails means the messages that are supposed to be sent automatically and periodically based on the user defined settings. With this utility, you can create multiple recurring emails, and send the messages at daily, weekly, monthly, yearly intervals you set.


Multiple Mails Group:

Bulk Reply: With this utility, you can quickly reply to multiple received emails at the same time without manually replying one by one or creating complex and time-consuming rules.

Bulk Forward: When selecting multiple emails and apply the Forward function, all selected emails will be attached as attachments in the forward message window by default. With this utility, you can forward multiple emails individually as normal emails instead of sending them as attachments.

Save as PDF: This utility helps to save multiple emails as other format files separately in bulk. It gathers six file formattings as follows:

  • 1. You can batch save multiple emails as individual HTML format files;
  • 2. You can batch save multiple emails as individual Txt format files;
  • 3. You can batch save multiple emails as individual Word format files;
  • 4. You can batch save multiple emails as individual PDF format files;
  • 5. You can batch save multiple emails as individual CSV format files;
  • 6. You can batch save multiple emails as individual Excel format files.

Recall Email: This feature attempts to recall the emails you have already sent by sending an Outlook recall command. It supports recalling either a single email or multiple selected emails at one time. After clicking on this feature, a dialog will pop up to indicate which emails have successfully issued the recall command. Then you will receive an email notification informing you of the recall’s success or failure for each recipient.

(Search) This Contact: With this utility, you can quickly search emails in all mail folders which include a specific contact in the Contact list.

Response Group:

Reply: In this Reply group, you can easily reply an email with attachment or reply an email without the original message text as you need.

  • Reply with Original Attachment: This utility can help to keep the original attachments when replying an email with attachments.
  • Reply All with Original Attachment: This utility can help to keep the original attachments when clicking the Reply All button of an email with attachments.
  • Reply without History: This feature can help to easily reply to the sender of a selected email without the original message text.
  • Reply All without History: This feature can help to easily reply to the sender and all other recipients of a selected email without the original message text.

Setup Replies To: Normally, after sending an email, the replied message goes to the email account where you sent the original email. If you require all replied messages go to a specific email account, this fearure can help you easily get it down. It can help to:

  • 1. Set reply-to addresses for all email accounts in bulk;
  • 2. Disable reply-to address for a certain email account;
  • 3. Disable reply-to address for one email with one click only.

Delete Group:

Relative Current: This function collects two utilities which can help to delete emails which relative with the selected one.

  • Delete  Emails by Same Sender: This feature helps to quickly delete all emails in current folder which the sender matches the sender of a selected email. It is optional to delete related emails in a specified date range.
  • Delete Emails by Same Subject: This feature helps to quickly delete all emails in the current folder which the subject is the same as the subject of a selected email. It is optional to delete related emails in a specified date range.

Delete Duplicate: This function collects three utilities which can help to easily delete duplicate emails, tasks and contacts in Outlook.

  • Delete Duplicate Mails: This utility helps to quickly delete duplicate emails from folders of one or multiple email accounts. Besides, it allows moving all duplicate emails from folders across multiple email accounts to a specific folder.
    Note: By default, duplicate emails should contain the same body, attachment and subject. You can customize other criteria for duplicates checking as you need.
  • Delete Duplicate Tasks: This utility helps to quickly remove all duplicate tasks in a single folder or across multiple folders at the same time and just keep one.
  • Delete Duplicate Contacts: With this utility, you can quickly delete all duplicate contacts from one or multiple contacts folders at once. It is optional to move all duplicate contacts from the specified folder(s) to another folder instead of permanently removing them.
    Note: By default, duplicate contacts should contain the same Email 1 Address and Full name. You can customize your own criteria for duplicates checking as you need.

Remove Subject Prefix: When replying or forwarding messages, the prefix text RE or FW will be inserted in front of the subject line automatically. This utility can help to quickly remove all RE or FW prefix from selected emails or emails of specified folders at once. Besides, you can specify certain prefix to remove from emails based on you needs.

Remove Stuck Messages: Sometimes, an email will be stuck in Outlook’s Outbox if it is too large to send or other reasons. This feature helps to remove all stuck messages from the Outbox with one click only.


Attachment Group:

Attachment Manager: With this utility, you can easily save / delete / compress / detach multiple attachments from multiple emails. This manager also enables to automatically detach all attachments in incoming emails, and automatically compress all attachments in incoming and outgoing emails as well.

Attachment Tools: This group collects some useful tools for easily handling Outlook attachments:

  • Compress All attachments: With this utility, you can quickly compress all attachments in one or multiple selected emails. Besides, it allows you to compress attachments of selected emails by specific conditions.

  • Repair Links: After detaching attachments from emails, sometimes you may move the detached attachments from the original saving folder to other folders, which will cause broken links between attachments and emails. In this case, this utility will help to batch update links between detached attachments and emails in Outlook.

Attachment Options: Click the right arrow button in the Attachments group to display this tool. Here it provides useful options for you to easily managing the saving, detaching and compressing of attachments.


Options Group:

Add date into subject when creating a new email: This option can help to automatically insert the current date into the subject when creating new emails in Outlook.

Add a signature with date when create, reply to and forward email: This option can help to automatically insert the current date into the signature when creating new emails or replying/forwarding emails in Outlook.

Always reply with default account: With this option, you can always reply all emails with the default email account in Outlook.

Add greeting when create, reply to and forward an email: Enable this option can help to automatically insert greeting in the email body when replying email in Outlook.

Include myself when reply all: With this utility, you can always include yourself in a reply all message.

Warning when Reply / Reply All: Enable this utility will display a warning when clicking on the "Reply" or "Reply All" button of a message containing multiple recipients.

Use default account to forward: Enable this utility will always forward emails with the default account.

Show: It will display a notification to tell you that what Kutools for Outlook has done for you. There are 6 options:

  • 1. Show prompt window when auto-CC/BCC.
  • 2. Show prompt window when forwarding automatically.
  • 3. Show prompt window when replying automatically.
  • 4. Show prompt window when blocking spam.
  • 5. Show prompt window when checking for malicious messages.
  • 6. Show prompt window when mails are sent on a recurrence.

Enable Log: You can enable the Log to help record all logs of Kutools for Outlook.

Change default text zoom: With this utility, you can change the text zoom of reading, composing, replying and forwarding email windows to a specific percentage.

Enable query builder: This option can help you to easily enable the Query Builder in Outlook.

Change maximum attachment size: This option can help to quickly increase or change the maximum attachment size limit in Outlook.

Configure attachment types: This option can help Outlook users easily unblock or access to attachments with specific file extensions.

Change the default attachment saving folder: This option can help you configure the default folder for saving your attachments easily.


Report Group:

Statistics: This utility can help you to quickly count emails in Outlook in a certain time. It is optional to export the final report of all counting results to a new file such as an Excel workbook. For example, you can:

  • 1. Count total emails you have sent or received per day/week/month;
  • 2. Count number of emails you have selected;
  • 3. Count emails in all folders across email accounts at the same time, etc.
Quick Report: With this utility, the information of all messages in the selected email folder or all tasks in the selected task folder will be exported to an Excel file, also it supports to customize report fields as you need .

Message Header Analyzer: This utility can help you to easily view and analyze the full internet headers of an email with one click.

Count Selected Items: This feature helps to easily count number of selected items in Outlook.


Contact Group:

When composing or repling a message:

There are times when we need to find approximate matches in Excel to evaluate employees' performance, grade students’ scores, calculate postage based on weight, etc. In this tutorial, we will talk about how to use the INDEX and MATCH functions to retrieve the results we need.

How to find approximate matches with INDEX and MATCH?

To find out the shipping rate according to the given package weight (9, the value in the cell F6) as shown in the screenshot above, you can combine the INDEX and MATCH functions, and use a little trick to make the formula find the approximate match you need: The match_type -1 asks MATCH to find the position of the smallest value that is greater than or equal to 9, and then INDEX will find the corresponding shipping rate on the same row.

Generic syntax

=INDEX(return_range,MATCH(lookup_value,lookup_array,[match_type]))

  • return_range: The range where you want the combination formula to return the shipping rate from. Here refers to the shipping rate range.
  • lookup_value: The value MATCH used to locate the position of the corresponding shipping rate. Here refers to the given weight.
  • lookup_array: The range of cells with the values to compare with the lookup_value. Here refers to the weight range.
  • match_type: 1 or -1.
    1 or omitted (default), MATCH will find the largest value that is less than or equal to the lookup_value. The values in the lookup_array must be placed in ascending order.
    -1, MATCH will find the smallest value that is greater than or equal to the lookup_value. The values in the lookup_array must be placed in descending order.

To find the shipping rate for a package weighing 9kg, please copy or enter the formula below in the cell F7, and press ENTER to get the result:
